Terms & Membership Agreement

These terms are the agreement between you and Lightbox Cowork, operated by Lightbox Collective (“Lightbox Cowork,” “we,” “us”), at 110-A W Erwin St, Tyler, TX 75702. By buying a membership or a day pass, checking “I agree” at sign-up, or using the space, you accept these terms.

1.Memberships & day passes

We offer recurring memberships (Flex Pass, Core, Studio+, and Creator) and a one-time Day Pass. What each includes — seating model, locker, access hours, studio access — is described on our site at the time you join and may be updated as the space evolves. Memberships are personal to you and may not be shared, assigned, or transferred.

A Day Pass grants open-seat access for a single calendar day that you choose at checkout, in the space’s local time zone (Central).

2.Billing & renewal

Memberships bill in advance and renew automatically — monthly or yearly, whichever you chose — until cancelled. Payments are processed by Stripe; by joining you authorize us to charge your payment method on file for each renewal. Prices are in U.S. dollars and exclusive of any applicable taxes. Day Passes are charged once, at purchase.

We may change membership prices or what a plan includes. For recurring memberships we’ll give reasonable notice before a price change takes effect on your next renewal; your continued membership after that date is acceptance of the new price.

3.Cancellation & refunds

You can cancel a membership anytime from your account (Manage billing) — no notice period, no cancellation fee. Cancellation stops future renewals; your access continues through the end of the period you’ve already paid for, and is not pro-rated or refunded for the unused part of that period.

Day Passes are non-refundable once purchased, except at our discretion (for example, if the space is unexpectedly closed on your chosen day). If we cancel or materially change your membership, we’ll refund any period paid but not yet used.

4.Access & your door code

Flex Pass members have access during working hours (roughly 9am–5pm on weekdays). Core, Studio+, and Creator members have 24/7 access. The front desk is staffed 9am–5pm, Monday–Friday. Access hours may change; we’ll post current hours in the space.

When you join, we issue you a unique six-digit door code, programmed into the door by our team (usually the same day). It is personal and confidential — don’t share it, don’t let others in on it, and don’t prop or disable doors. We may change or revoke your code at any time, and will do so when your membership ends or a payment fails. You’re responsible for anyone who enters using your code.

5.Studio & podcast room

Studio+ members have podcast-room access during set early-morning hours; Creator members receive a monthly allotment of studio credits, as described on our site. Studio and equipment use is subject to booking availability and to any separate studio terms and safety rules we provide. Anyone may also book the studio directly at lightboxpodcaststudio.com. You’re responsible for equipment you use and for any loss or damage beyond normal wear.

6.Guests & visitors

You’re welcome to bring a client or collaborator for a meeting. A guest who needs their own seat for the day should have a Day Pass. You’re responsible for your guests’ conduct and for their compliance with these terms while they’re in the space.

7.House rules & acceptable use

Keep the space good for everyone:

  • Be considerate with noise — take calls and meetings in the call pods or meeting room.
  • Clean up after yourself; leave shared areas as you found them.
  • Don’t leave belongings unattended overnight in open areas; use a locker if you have one.
  • No illegal, hazardous, or unsafe activity, and nothing that damages the space or disturbs others.
  • No hosting events, running an unrelated storefront from the space, or subletting your access without our written OK.
  • Respect building capacity, security, and any posted rules.

We may ask anyone not following these rules to leave.

8.Your belongings

You bring and keep personal property at your own risk. We are not responsible for loss, theft, or damage to your belongings, equipment, or data, whether stored in a locker, at a desk, or anywhere in the space. Carry insurance if that matters to you.

9.Mail & business address

Where your plan includes use of our address for mail or business registration, you may use it only lawfully and only while your membership is active. We may refuse or return mail, and you must update your registrations promptly when your membership ends. We’re not responsible for lost, delayed, or undelivered mail.

10.Risk, liability & indemnity

You use Lightbox Cowork and its facilities, equipment, wifi, and amenities at your own risk. To the fullest extent allowed by law, we provide the space “as is,” disclaim implied warranties, and are not liable for indirect, incidental, or consequential damages. Our total liability arising out of your membership is limited to the amount you paid us in the three months before the claim. You agree to indemnify and hold us harmless from claims arising out of your use of the space, your guests, or your breach of these terms. Nothing here limits liability that can’t be limited under Texas law.

11.Suspension & termination

We may suspend or end your membership and revoke your door code for non-payment, a breach of these terms, or conduct that endangers people or the space. Where reasonable we’ll give notice and a chance to fix the issue. On termination, your access ends and any unused, pre-paid period is handled under Section 3.

12.Privacy

To run your membership we collect your name and email, your payment details (handled by Stripe — we don’t store card numbers), and your door code and visit records. We use this to provide access, billing, and support, and we don’t sell it. Questions about your data? Email info@lightboxcollective.co.

13.Changes to these terms

We may update these terms. When we do, we’ll post the new version here with a new version number and effective date. For material changes affecting active members, we’ll give reasonable notice. Continuing to use the space or renewing after the effective date means you accept the updated terms.

14.Governing law

These terms are governed by the laws of the State of Texas, without regard to conflict-of-law rules. You agree to the exclusive jurisdiction and venue of the state and federal courts located in Smith County, Texas.
